Capability statement for procurement and RFP shortlists
This page exists for the people who have to evidence a supplier decision internally. It sets out what we deliver, where we deliver it, who we have delivered for, and the documentation we can provide during a tender review. Everything below is drawn from delivered work rather than positioning language.
Who we are
- Pearl Lemon Events, part of Pearl Lemon Group, London.
- Registered address: Kemp House, 152–160 City Road, London EC1V 2NX, United Kingdom.
- Single contracting entity for the full event scope, with one accountable delivery lead per programme.
Delivery scope held in-house
One contract covers the whole programme, so there is no gap between planners, production and logistics when something changes on site.
- Programme and project management, budget control and supplier contracting
- Venue sourcing, contracting and site inspection
- Technical production: staging, AV, lighting, rigging, sound and show calling
- Hybrid and live streaming delivery
- Delegate management: registration, accreditation, communications and on-site check-in
- Event travel, transport and accommodation management
- Exhibition and sponsorship delivery, including stand build and organiser compliance
- Hospitality and catering activations
- On-site crew, event managers and emergency or same-day recovery support
Coverage
London and the United Kingdom as home market, with multi-city and multi-country delivery across Europe and internationally. Where a programme runs outside the UK we appoint and manage local suppliers under our own contract and our own delivery lead, so the client keeps one point of accountability regardless of country.
Documented delivery
Each figure below is the operational record from a delivered project, published in full on our case study pages.
- Jaeger-LeCoultre — 10 days of continuous luxury retail activation, 4,006 cups served, two specialist baristas trained on brand positioning. Read the Jaeger-LeCoultre case study.
- Microsoft — self-service hospitality for 40 attendees at the London Experience Centre, delivered with no on-site staff and no live recovery layer. Read the Microsoft case study.
- ITV — branded beverage service inside a live broadcaster office event, set up from an 11:45am arrival with guest-facing interaction built into the brief. Read the ITV case study.
- Centiva — client-facing office event run as one coordinated service environment covering passed canapés, multiple beverage formats and client-supplied wine. Read the Centiva case study.

Sector experience
Programmes are structured around the compliance and stakeholder reality of the sector commissioning them.
- Pharmaceutical and life sciences — congresses, advisory boards and investigator meetings with auditable records.
- Financial services — client summits, investor days and partner conferences.
- Technology — summits, developer conferences and product launches.
- Automotive — launches, ride-and-drive programmes and dealer conferences.
Compliance and procurement documentation
We supply the following on request during a tender or onboarding review, issued against the specific programme rather than as generic attachments:
- Certificates of insurance, including public liability cover, issued for the contracting entity
- Risk assessments and method statements for the specific venue and build
- Supplier list with contracted scope for each appointed party
- Health and safety documentation aligned to venue and organiser requirements
- Data handling terms covering delegate registration and personal data
- Master service agreement or client paper review, where a framework is preferred over per-event contracting
If your procurement process requires a specific form, questionnaire or portal submission, send it with the brief and we will complete it rather than returning a standard pack.
How we respond to a brief
- You send dates, delegate volume, cities and objectives — see what to include in an event management RFP.
- We confirm receipt and flag anything material that is missing before we cost the work.
- You receive a written scope, a costed breakdown by workstream and named delivery leads.
- A call to walk the response, then contracting and a delivery schedule.
